You have decided to embark on your therapy training in conjunction with Bedfordshire Beauty Training Academy and Professional Beauty Direct.
This policy outlines the terms and conditions under which learners, staff, and stakeholders engage with Bedfordshire Beauty Training Academy.
It aims to establish clear expectations and safeguards across five core areas: complaints and appeals, health and safety, equality and diversity, safeguarding, and PREVENT.
This policy outlines the organisation’s commitment to:

Please ensure that you have completed the following paperwork:

Registration form – Online – this will be sent to you via a link. Please ensure this is fully completed to allow us to set you up on our system. Be precise with spelling of names please as we will use this information to process your certificate at the end of your training.

Medical Questionnaire - to complete on day 1 of training face to face. Please ensure that you are disclosing all relevant information to allow us to make any necessary adjustments to your training including any hidden disabilities.

1.Booking
All course types, workshops, 1-1, shadow days, Accredited, VTCT Level 4/5 conversions, mentor days, coaching services must be booked through Bedfordshire Beauty Training Academy.
Upon securing a service, course, equipment by means of verbal, email, social media an email or detailed an invoice will be sent to the client confirming the product or the course, date, times with a course secure fee request or full payment, which may be as per our terms.
By paying the invoice, the client confirms they have read, understood, and agree to the Terms & Conditions provided prior to enrolment. When part or full payment is made these terms are bound by both parties.
The company reserves the right to decline any application for enrolment or withdraw a client from a training course prior or during post application and booking if our Code of Ethics and Student Conduct are not followed. No refunds will be given.
We are unable to reserve a place for any persons onto a course until either full payment or the course booking fee is paid in the time scale detailed on the invoice and confirmation by client has been send by email.
1.1 Upon course booking with deposit, full payment or finance, the client will undertake and commit to fully complete pre course study/assignment (if applicable) in paper or online form relating to any course or service.
1.2 A non-refundable course secure fee (subject to course and details provided) must be paid at the time of booking unless stated differently on course booking invoice (subject to course type and equipment required. All courses require full payment for pre-study if applicable to be posted or access to online platform.
1.3 The contractually binding fee is stated in the price list, web site or the agreed bespoke price, on an email and is current at the time of application. Delay of 48 hours or more to paying the fee to secure the trainee place will result in the place being offered to another trainee unless otherwise agreed with Bedfordshire Beauty Academy.
1.4 Delay in paying the non-refundable fee may result in a time when the course, service or product incurring a price increase.
1.5 Payments can be made by bank transfer; through our payment platform.
1.6 Enrolling on a course does not guarantee a pass or a qualification. We have the right to non-pass, withdraw if standards and safety are not achieved or the trainee does not attend the course.
1.7 Bedfordshire Beauty Academy is not responsible for any finance application result. This application is sent to the relevant approved finance broker and further contact is then between client and broker. If approved the finance broker has a relationship with the said client. Bedfordshire Beauty Academy is an intermediary for both parties at time of introduction only and is not affiliated nor receive any commission or bonus for this introduction.
1.8 Beauty kits are required for some courses, and these are detailed on each course outline. These costs will be included in the booking invoice.
No refunds are provided for the equipment and course.
Where appliable online training will be provided to familiarise the client with the equipment and use format practice only until academy attendance for full practical training. We do not charge for the extra online training once full payment has been received.
1.9 Full payment is required at time of booking for any course under the fee of £1000
2.Your Training
You will be working towards achieving a professional accredited qualification in Beauty, Holistic , Massage, Nails or Aesthetics.
This will not only include practical aspects but theoretical core subjects. You will receive a combination of theory and practical once you start at the academy; in the meanwhile, you will receive a percentage of your course work via email which needs to be completed at home and sent back to the academy when requested.
It is essential that all learners are performing practical practice and home study via theoretic elements to ensure knowledge and understanding is being developed.
It is the students responsibility to manage their study time away from the academy and is not the responsibility of the academy if students are not practicing from home or completing relevant coursework, pre course study, and revision.
Although your core qualification is practical based, we will work on your literacy, numeracy and ICT skills by embedding elements into your session delivery, course work and homework.
Timings of sessions will depend on the following:

Diary Bookings – what we have available and where we can book you in.

Level of course – some more advanced courses require more contact time.
-
Day of training - Weekend session tend to be shorter days.
Timings will be discussed with you at the point of booking and re visited before the end of your training schedule.
Students are not permitted to dictate timings of sessions due to the duty of care as an academy to ensure we are covering all of your training hours.
Courses that go over allocated allotted training times may inure an extra cost. For example if you are booked on a 2 day course BUT you are not competent at the end of your training then you may be asked to attend a further assessment day – FREE of charge. If the further assessment day involves teaching, training or coaching to build knowledge and understanding it will be charged at £45 per 3 hours.
1a Gaps in training
Gaps in training are not encouraged as it is important to remain current and have continuity. That said we do understand things can happen to stimulate a gap in training such as illness. If gaps in training occur due to a personal circumstance we will look at each case individually.
Unplanned gaps in training should be a maximum of 4 weeks. Anything over 4 weeks will inure a cost . For gaps over 4 weeks extra cost will be issued to the student to allow the academy to cement the said gaps for you in the form of extra training and support.
Students will be charged £45 for each 3 hours of extra support to marry any gap in training.
Considered Reasons for gaps in training:

Mental & Emotional Well-being – Clinical Depression.
-
Personal crises - loss of a loved one – parent, child, spouse.
-
Physical & Health Issues - Illness or injury that impairs ability to attend or concentrate.
-
Chronic health conditions requiring frequent care - Cancer.
-
Sudden medical emergencies for self.
-
Pregnancy or birth and associated recovery time.
1b Gaps in training – theory prep towards practical applications.
On our some training programmes you will have access to your pre course study, theory and course work BEFORE you start your practical training.
Our recommendations – BUT not essential in some cases:

You have a minimum of 5-7 days pre study for theory , pre course tasks and coursework.

You take a maximum of 6 weeks to complete pre course study, theory, coursework before staring your practical. This will be dependent on the level of the qualification and length of course.
These are only recommendations and each learner will be different due to the length of the course and the time of booking.
See sections 18 and 23 for further information.
1c – Training Team
The training team have a wealth of knowledge and are qualified in all aspects of beauty therapy, holistic, nails and aesthetics, including industry experience and robust teaching qualifications.
You will be allocated 1 or more of the teaching team when training with us.
On some training programs there will be more than one learner in the group – maximum of 6 per group and at times we will work with you on a 1-1 basis. During these times we are committed to portray to you a full learning experience in relation to your qualification journey.
You will have full access to your support when attending the academy. For remote training i.e. when you are doing your pre course study, course work, case studies please feel comfortable in reaching out to us if you require any support. That said please be aware of our working schedules when you are not with us physically at the academy as we will be working with other students but will endeavour to respond to questions, queries in a timely manner.
1d Attendance
It is essential that students attend all of their allocated training sessions. Non attendance could result in a student not achieving their qualification.
Short notice non attendance - If you are unable to attend a training session and you need to cancel to reschedule due to a legitimate reason we require a minimum of 24 hours notice.
This will inure a rescheduling fee of £40. Please be reminded that at the time of booking we allocate the following – a tutor and IT/admin links which are payable by the academy therefore we have to charge if students wish to reschedule due to legitimate reasons.

2.Payments
Payments for all courses should be made BEFORE commencing your training programme via bank transfer. We currently do not offer a finance option due to the length of our courses.
After registration you will receive an invoice which will state when payment is due.
All payments are non refundable once made.
Students may be able to make course payments via a payment plan authorised by the Academy Director or the Academy Manager. This is via discretion of the said member of staff. Payment plans need to be adhered to.
Students will not be able to commence a course until full payment has been received .
In the case of courses over £1500 a non refundable payment of £500 may be accepted at registration to allow the learner access to their course work and learning resources. Final payments need to be made a minimum of 14 days before starting the practical aspects of the course.
All Booking/Registration/Course fees are non-refundable.

3.Your Training – Study hours
All students must put aside study hours in their own time to ensure guided learning hours are completed.
Home study hours should be utilised for research, homework, revision and practical practice of therapies studied.
It is the students responsibility to manage their time outside of the training room. We will give you guidance but do not take responsibility of students study hours outside of the training room.
Your schedule for the day/days will be discussed at enrolment – please ensure you take note of this as schedules are in place to support learning goals.
4.Uniform and Kits
Kits and uniforms are exempt from training packages.
Please ensure you are wearing a professional tunic or scrubs for your practical assessments. This along with PPE (when working practically).

Exception to attire when training will be a smart black pair of trousers, closed toed flat shoes and a short sleeved back top.
Some courses may include a training kit. This will be stated at the point of enquiry.
If training kits are included on your program these will be issued to the student on day 1 of practical training.
When attending for your assessment and training days please ensure you bring with you your training kit/kits to use during the practical aspects of training.
Kits that are included in training courses can not be issued to the student before practical training OR if the student cancels their training.
5.Enrichment Training
We offer enrichment training for all students who enrol onto our programs. This comes in the form of Industry Days where we book students a column of treatments to:

To build confidence and competence.
Industry days – Enrichment training is not compulsory but offered to those students who require a little extra support with their training journey.
Please speak to one of the team about this opportunity. Enrichment training includes a certificate of completion and a payment of £15 per session to book.
6.Portfolio
For some of our longer courses you will build a portfolio of evidence which could include:

Therapy evidence.

Photographic evidence.
-
Examples of work completed at home.
-
Academy treatments.
-
Coursework and case studies.
This portfolio will be the students’ responsibility and must be brought to each session attended. Your course tutor will discuss with you what elements are required within the portfolio.
One day courses are exempt from portfolio BUT will still require you to submit evidence at the end of your training day.
ALL courses will require you to submit some kind of therapy evidence i.e. pre course study, coursework, written tests etc.
7.Academic Year
Our training timetable does not follow a tradition FE college or school; hence sessions will run through from start date to finish date without breaks.
Cancelations of sessions or adaptations of sessions are made with the discretion of the academy.
We currently tend to close over Easter and Christmas.
8.Professional Therapist Standards
Uniform to be worn when attending the salon, this includes correct salon footwear, no boots. Please avoid wearing Jeans and open toed footwear.
It is acceptable to wear your wedding ring and a small set of stud earnings. Bracelets and watches need to be removed when performing practical therapy.
Head coverings – such as the hijab when worn must not be worn securely.
Arms from the elbow downwards should be free.
They should be neatly tucked and should be plain.
Acrylic and gel nails are not allowed when training and natural nails also need to be varnish free and of a suitable length to avoid scratching the client.
Conversations and conduct between students, staff and clients within the academy must be kept professional and confidential.

9.Responsibilities
Student is responsible for the care of all session resources including products ,work packs and handouts given.
Your portfolio if required on your training program must be kept in good order and condition and be available for portfolio audits.
Course work will be given and must be completed as and when required.
Student is responsible for their work area and must put away and clean everything down including couches/tables/trolleys/stock cupboards/laundry area and product bottles used. Rubbish must be emptied, and new bag put into bins. Students will not be allowed to leave the academy until all has been adhered to.
Booking Fees are non-refundable.
All course and training fees must be paid in full before final exam papers are sat.
Time management is a must on any of our courses. Each training programs has a set amount of hours to ensure you are fully committing to your training hours and that you are putting aside practice hours to build competence and confidence and meet all of the learning objectives.
During practical training it is common to take photographic evidence of your work. This could include your finished results and whilst you are working. Please ensure you gain client confirmation BEFORE you take photographs of your work.
10.Health and wellbeing
Please ensure that you have disclosed to your course tutor if you have any health ailments that should be documented.
This information will be confidential and will allow any adjustments to be made if necessary.
Disclosure of aspects such as hidden disabilities can allow any modifications to be made to your training program without hindering your progression.
11.Practical and assessment days
Student must wear a tunic or scrubs for all practical and assessment days; hair should be tied back, no jewellery, flat shoes, no polish/gels/acrylics on nails.
When attending an assessment day the students must be fully prepared in relation to knowing their therapy and all of the protocols that go along side this.
All course work, pre course study, homework should be submitted BEFORE assessment days.
12.Hidden Disabilities
Please do disclose if you require any additional support whilst studying at the academy.
We will do what we can to support you on your training journey.
Non-disclosure can cause confusion and build barriers to adaptive learning so please do let us know how we can help.
If you require extra time with assessments and training days due to a hidden disability PLEASE do discuss this at the time of booking.
Any extra training days may inure a cost of £45 of every 3 hours of extra training.
13.Models for Treatments
For most training sessions the academy will provide models.
In some cases for sessions such as intimate waxing , ear piercing, make up we will ask the student to provide their own models.
This will be discussed at the time of booking.
If you are on a program with more than 1 learner you may have to model for the treatment ie working with someone else on the course and model for one another.
14. Exams/Assessments Theory
Each unit that you are studying for will have some kind of written exam/assessment attached. Exams can be in the form of multiple-choice questions and or tests.
Exam/assessment results will be released 7-10 days after paper being sat – depending on the program you are attending.
15. Course Work
Each unit that you are studying will have written coursework attached. These will be sent to you electronically or via an online platform.
Course work is to be completed at home and is a compulsory piece of underpinning evidence required for your training and the completion of your qualification.
Presentation – Please submit a typed hard copy of pre course study, course work to your course tutor/trainer. It is the students responsibility to print off their course work/pre course study/homework/case studies and place into portfolio for submission to your course tutor.
Contents – when completing your course work please ensure that you avoid cut and paste activities by accessing information via the internet.
When researching via the internet please ensure you are using credible sources and if accessing AI tools like 'ChatGPT' please ensure that you are not performing plagiarism by writing information verbatim.
Pre-Course Study - We encourage you to become familiar with your training resources BEFORE you attend the academy - this may be simply reading through and making notes.
Some of our intensive short courses require you to complete some set pre course study - please ensure this is completed BEFORE attendance.
16. Resources
When training you will be provided with all consumables and products unless your course includes a training kit.
Manual/Handouts/ in varying forms will be provided by the academy via email or online platform It is the students responsibility to read through and complete any tasks attached via learning resources.
Advice on further reading i.e. textbooks are available via the academy if students wish to do further reading and study.
17. What To Bring When Training.
Please bring with you:
• Pen and paper
• Light Lunch/Refreshments - we will stop for a short break
• Portfolio - if requested
• Pre Course study / Course work
18. Certification
For all programs you will receive a certificate of completion. All accredited courses are accredited with Professional Beauty Direct.
When you submit all evidence to the academy ie pre course study, course work, case studies, tests, treatment evidence your certificate will be released via PDF electronically.
If you require a hard copy of your certificate please do order this at the time of enrolment. Fees are £15 per certificate.
For certificates that may have been misplaced after training - you are able to order copies of certificates. Please email your details to info@bedfordshirebeautyacademy.co.uk stating the date and title of your training and proof of identification.
Fees for replacement certificates are £10 per certificate.
19. Complaints and Appeals Procedure/Health and Safety/Equality and Diversity/Safeguarding/PREVENT
The academy and accreditation has a set procedure that covers complaints and appeals and procedure/policies. Please see separate policy.
19a. Health and Safety
We are committed to ensuring a safe and healthy environment for all learners, staff, and visitors.
Organisation: Conducts regular risk assessments, maintains emergency protocols, and provides safety training.
Individuals: Must follow safety procedures, report hazards, and participate in safety drills.
Reporting - All incidents, near misses, or safety concerns must be reported immediately to the designated officer.
19b. Equality and Diversity
We celebrate diversity and are committed to creating an inclusive environment free from discrimination.
We uphold the principles of the Equality Act 2010 and protect all nine protected characteristics.
Promote respect and inclusion.
Make reasonable adjustments for accessibility.
Regularly review and improve inclusive policies and procedures.
19c.Safeguarding
This applies to all learners, staff, contractors, and volunteers.
Principles - Protect children, young people, and vulnerable adults from harm.
Foster a culture of vigilance and openness.
Reporting - Any safeguarding concerns must be reported to the designated safeguarding lead immediately. All staff receive regular safeguarding training.
19d. PREVENT Duty
We have a statutory duty to safeguard learners from being drawn into terrorism or extremist views.
Strategy - Staff Training: All staff are trained to identify and report concerns.
Risk Assessment: Activities and guest speakers are screened to assess potential risks.
Referral Process: Concerns are escalated to the safeguarding lead and, where necessary, to external authorities.
20. Rescheduling and Cancellation Policy
At the time of booking you are completing a contract with the academy in relation to the commitment of the training date/dates and to the training programme.
Please before booking discuss the training dates and commit the dates to your personal diary to avoid any confusion.
Rescheduling by the participant - If requesting to reschedule a training date - application must be made a minimum of 14 days before original training date. We will endeavour to try and reschedule you to a date that works with both the academy and the participant.
There will be a £40 admin fee.
Cancellation by the participant – if a student changes their mind after booking their training programme you have a 24 hours cooling off period to apply for a full refund.
If you have been given access to pre course study and/or theory delivery within the 24 hours cooling period you will encore a £40 admin fee.

21. Refunds
As stated before we do not offer refunds for our training courses.

22. Cool Off Period
If a student changes their mind after booking their training programme you have a 24 hours cooling off period to apply for a full refund.
If you have been given access to pre course study and/or theory delivery within the 24 hours cooling period you will incur a £40 admin fee.

23. Photography & Social Media Consent
Bedfordshire Beauty Training Academy may take photographs and videos during training sessions for educational, assessment, quality assurance, and marketing purposes.
Written consent will always be obtained before any images are used publicly on websites, social media platforms, promotional materials, presentations, or training resources.
Students and models have the right to decline media consent at any time.
24.Insurance Responsibility
It is the student’s responsibility to obtain appropriate professional insurance before carrying out treatments on paying clients outside of the academy environment.
Bedfordshire Beauty Training Academy accepts no liability for treatments performed by students outside of supervised academy training.
25.Patch Testing & Consultation Responsibility
Students are responsible for ensuring patch tests, consultation procedures, and treatment protocols are completed in accordance with treatment requirements, manufacturer guidelines, and insurance standards.
Models and clients must disclose all relevant medical information honestly and accurately before treatment.
26.Infection Prevention & Hygiene Standards
Students are expected to maintain high standards of hygiene, sanitation, infection prevention, and professional conduct throughout all practical sessions.
Failure to follow hygiene and safety procedures may result in removal from practical activities or training sessions.
27.Bullying, Harassment & Conduct
Bedfordshire Beauty Training Academy operates a zero-tolerance policy towards bullying, harassment, discrimination, aggressive behaviour, abuse, intimidation, or inappropriate conduct towards staff, students, models, visitors, or members of the public.
Any behaviour deemed unsafe, threatening, disruptive, discriminatory, or unprofessional may result in removal from the training programme without refund.
28.Data Protection & GDPR
Personal information collected during enrolment and training will be processed in accordance with UK GDPR and Data Protection legislation.
Information will only be used for:

Legal and regulatory requirements

Information will not be shared with third parties unless legally required or necessary for certification purposes.
29.Late Arrival Policy
Students arriving more than 15 minutes late may be refused entry to the session if the missed content compromises health and safety, learning outcomes, or assessment requirements.
Late arrival may require additional training time which could incur an additional charge.
30. Force Majeure
Bedfordshire Beauty Training Academy shall not be held responsible for delays, cancellations, interruptions, or alterations caused by circumstances beyond reasonable control including:

Severe weather

Illness

Government restrictions

Venue issues
-
Utility failures
-
Emergencies
-
Industrial action
-
Acts of God
-
Where possible, alternative arrangements or rescheduled dates will be offered.
31.Certification Release
Certificates will only be released once:

All coursework has been completed
-
Case studies have been submitted
-
Assessments have been successfully completed
-
Practical competence has been achieved
-
Attendance requirements have been met
-
All outstanding fees have been paid in full
Bedfordshire Beauty Training Academy reserves the right to withhold certification.
32. Intellectual Property & Training Materials
All manuals, presentations, videos, handouts, coursework, online learning resources, and academy training materials remain the intellectual property of Bedfordshire Beauty Training Academy.
Materials must not be copied, reproduced, shared, distributed, uploaded, resold, or used for commercial purposes without written permission from the academy.
33. Accredited & Non-Accredited Training
Some academy courses are accredited diploma qualifications, while others may be CPD courses, workshops, mentoring sessions, enrichment training, or non-accredited professional development programmes.
The certification type and accreditation status will be clarified at enrolment.
34. End Of Course
At the end of your training course you will be required to submit treatment evidence and any course work and case studies.
Once your final assessment has been completed via exam or test you will be issued your certificate via PDF – email OR via post if a hard copy has been ordered.
Failure to submit adjoining coursework/case study will hinder the successful completion of your qualification. We will allow you to submit coursework /Case studies 5 days after the end date of your training programme only.
When you have completed your qualification and been awarded your certificate we will endeavour to continue to support you with future questions, queries and will be happy to facilitate further qualifications if you wish.
Most training programmes have enhancements or a logical progression trail so please do reach out if you wish to continue your training journey.
35. Our Promise
We love facilitating learning at Bedfordshire Beauty Training Academy and we will endeavour to support you on your therapy journey. We ask for complete transparency on enrolment to enable us to provide the best service to enhance your therapy repertoire.
36.Review and Monitoring
This policy is reviewed annually or in response to legislative changes.
Feedback is welcomed from staff, learners, and stakeholders.
37.Final Statement
By enrolling onto a training programme with Bedfordshire Beauty Training Academy, students confirm they have read, understood, and agree to abide by all academy policies, procedures, and Terms & Conditions.
The academy reserves the right to amend policies and procedures where necessary to remain compliant with legislation, awarding body requirements, and industry standards.

Online price errors. If we discover an error in the price of goods ordered or reserved, we will inform you as soon as possible (e.g. prior to the goods being despatched, or collection). We will provide you the option of reconfirming your order at the correct price or cancelling it. If we are unable to contact you we will treat the order as cancelled. If you choose to cancel and have already paid for the goods you will receive a full refund.
Delivery & Carriage Charges
1 Goods will be dispatched within 24 hours.
2 We will deliver goods within 2-3 working days of dispatch. Deliveries may be delayed in accordance with point 4.9.
3 Your order may arrive in more than one delivery.
4 We deliver to mainland Great Britain.
5 Disposal of packing materials is your responsibility.
6 If there is no one to accept the order on the scheduled delivery date the goods may be returned to us and we reserve the right to charge you an additional re-delivery charge.
7 If you change the delivery address once the goods have been dispatched to you, we reserve the right to pass on any extra charges made by our carriers for redirecting your delivery, if the carriers are able to make the change. This will delay your delivery.
8 If the goods are lost or damaged please report this to us within two working days from the delivery day.
9 Sometimes, for reasons beyond our control we may be prevented from dispatching your goods as planned. These might include things such as accidents, breakdowns, fire, flood, storm, severe weather, acts of god, war, riot, civil commotion, malicious damage or the default of our suppliers. We are not responsible where this causes a delay or failure in delivering your goods.
Faulty Goods / Guarantee
1 If there is a problem with the goods, please notify us by email or in writing providing details of the problem. In addition, you must provide us with a digital photograph of the problem as this saves you having to return the goods for inspection. We will deal with the matter in accordance with your legal rights.
2 If an exchange is necessary, this will be arranged without unreasonable delay and without charge. Replacement goods will not be dispatched until either a indicative digital image is supplied by the customer, or the original goods have been received and checked.
3 The cost of returning goods to us is your responsibility, however on inspection we will refund your reasonable postage costs, providing that the goods are found to be faulty. If the goods are not faulty, we will return them to you, however you will be required to cover our reasonable postage costs.
4 Within the time-scale laid out in point 6.5, we will replace defective goods free of charge, at our discretion, providing that you have returned to us any faulty goods upon request.
5 If an item is no longer available we will offer an alternative. However, our liability will be to replace the faulty goods only and we are unable to guarantee an exact match. In this instance, you will have the option of a refund.

1 The products sold on this website have been designed to comply with all relevant UK legislation. We cannot warrant or represent that they comply with any legal requirement outside the UK.

2 When using this website you shall not post or send to or from this Website any material for which you have not obtained all necessary consents, is discriminatory, obscene, pornographic, defamatory, liable to incite racial hatred, in breach of confidentiality or privacy, which may cause annoyance or inconvenience to others, which encourages or constitutes conduct that would be deemed a criminal offence, give rise to a civil liability, or otherwise is contrary to the law in the United Kingdom.
